Job Description: We are seeking a highly motivated and detail-oriented Office Assistant to join our dynamic team. The ideal candidate should be fluent in both English and Spanish or Chinese. The primary responsibility of this new team member will be to assist in coordinating the production process and office work. This will involve working closely with existing vendors to establish and cultivate relationships, ensuring effective coordination and communication regarding production requirements.
Responsibilities:
- Provide administrative support to the team, including data entry, document preparation, and managing office supplies.
- Assist with maintaining and organizing product samples, lookbooks, and other fashion-related materials.
- Conducting garment measurements
- Coordinate with internal departments and external vendors for order placements, shipments, and inventory management.
- Assisting in the review of T.O.P samples and communicating any necessary changes and approvals
- Prepare reports, spreadsheets, and presentations using Microsoft Excel, Word and PowerPoint.
- Handle incoming calls, emails, and inquiries from vendor and factories
- Translate documents, labels, and correspondence from English to Spanish or Chinese.
- Support the team in organizing meetings, appointments, and travel arrangements.
- Maintain accurate records of orders, invoices, and expenses.
- Assist with event planning and coordination, including fashion shows, photo shoots, and trade shows.
- Stay updated on industry trends and participate in market research activities.
Requirements:
- Fluency in both English and Spanish or Chinese, with strong written and verbal communication skills in both languages.
- Proficient in Microsoft Excel, Word, PowerPoint, with the ability to create spreadsheets, reports, and presentations.
- Previous experience in the appeal industry or a related field is highly preferred.
- Excellent organizational skills and attention to detail.
- Strong problem-solving abilities and the ability to handle multiple tasks simultaneously.
- High level of professionalism and discretion in handling confidential information.
- Familiarity with fashion terminology, trends, and industry processes.
- A proactive and self-motivated attitude with the ability to work independently and collaboratively.
- Flexibility to adapt to changing priorities and deadlines.
