The Medical Records Specialist processes release of information requests for health care providers, regulatory agencies, and/or law firms according to regulatory requirements and company policies. Under the direction of the Medical Records Manager, the Medical Records Specialist ensures the enterprise-wide health data integrity, privacy, and security.
Essential Functions and Job Responsibilities:
- Processes all forms of record requests, subpoenas, and attorney requests.
- Achieves goals and productivity metrics set by the Medical Records Manager.
- Complies with policies and programs at the direction of the Medical Records Manager.
- Contacts referrals as necessary to collect prescriptions, certificates of medical necessity, letters of medical necessity, clinical notes, and lab results.
- Collaborates with other departments to gather relevant patient documentation.
- Reviews documentation to make sure it is valid prior to processing a documentation request to ensure completeness and accuracy.
- Must be able to navigate through multiple online EMR systems to obtain applicable documentation.
- Prepares and submits routine department reports to the Medical Records manager.
- Maintains working knowledge of health information laws (i.e., HIPAA).
- Identifies and communicates to the Medical Records manager suggestions to improve health information process, performance, and controls.
- Serves as a liaison between the organization and the documentation requestor by consistently demonstrating impeccable written and verbal communication skills.
- Always represents the organization in a professional manner.
- Maintains confidentiality of all audit projects and information.
- Maintains patient confidentiality and functions within the guidelines of HIPAA.
- Completes assigned compliance training and other educational programs as required.
- Maintains compliance with AdaptHealth’s Compliance Program.
- Performs other related duties as assigned.

Requirements
Education and Experience Requirements:
- Highschool diploma or equivalent required.
- One (1) year experience using medical terminology and demonstrable understanding of release of information laws.
Physical Demands and Work Environment:
- Work environment may be demanding at times, as overall office activities and work levels fluctuate.
- Must be able to bend, stoop, stretch, stand, and sit for extended periods of time.
- Subject to long periods of sitting and exposure to computer screen.
- Ability to perform repetitive motions of wrists, hands, and/or fingers due to extensive computer use.
- Must be able to lift 30 pounds as needed.
- Excellent ability to communicate both verbally and in writing.
- Ability to utilize a personal computer and other office equipment.
- Physical and mental to perform the essential functions of this position.
- Strong ability to communicate both verbally and in writing.
- Ability to work independently with little or no supervision.
